EMPLOYMENT SERVICES

Provide personnel-related services for academic staff members and the institution, including monitoring for policy requirements such as tenure, promotions, salary, leaves and termination.

 

Ø      UIUC Job Registry:

Oversee and update the UIUC Job Registry, a central source of information about faculty job vacancies, and disseminate information to media sources, including a web version.  Provide direction and counseling for individuals coming into the office looking for employment opportunities and persons using the Job Registry area.  Contact:  Debi Stone (Deb Weidler)

 

Ø      Electronic Career and Employment Center:

Collaborate with University Administration on development of various web-based service centers for employees and potential employees.  Review and release all academic professional vacancies to the Employment Center, a central web-based system for advertising Academic Professional vacancies.

Ø      Academic Benefits and Services Guide and Recruitment Packets:

Develop and update this synopsis of benefits and services available to academic employees; including a benefits chart.  Maintain other recruitment materials to promote and market the campus.

Ø      Dual-Career Couples Program:

Coordinate the dual-career couples program and discuss career opportunities with these individuals. Provide information on the UIUC Job Registry, Employment Center, Community Employers Directory, and career counseling.  Contact:  Debi Stone (Deb Weidler)

 

Ø      Academic Professional Positions (PAPE Approvals):

Assist units in the determination of appropriate titles for new academic professional positions and in the resolution of issues connected with unit organization. Review and approve the Principal Administrative Position Exemption (PAPE) and Supplemental forms for establishing new and existing positions.  Contact:  Debi Stone, Sandy Jones (Deb Weidler)

 

Ø      Champaign-Urbana Community Employers Directory:

Collaborate with local community to provide for more dual-career opportunities.

Develop directory and update annually; recently put on our web-site.  Work with CU Economic Development Corporation to expand and update the directory on a regular basis.  Recently added sixty new advanced technology businesses.   Contact:  Debi Stone (Deb Weidler)

 

Ø      Academic Appointment Policy:

Monitor policy requirements for certain new academic appointments and reappointments (see attached chart) including tenure, promotions, salary increases, and terminations.

Ø      Board of Trustees Items:

Prepare Board of Trustees agenda items and biosketches related to new faculty, deans, directors, department heads, and selected academic professional appointments.

Ø      Organizational Consultation:

As requested, assist unit heads in reviewing organizational structure and specifically evaluating how new and existing academic positions can best meet the needs of the unit.

Ø      Retirement Agreements:

Consult and conduct initial review for approval and preparation of individual  retirement agreements for academic employees.  Prepare initial agreements and follow through to final product.  Maintain retirement agreement files.  Contact:  Sandy Jones (Robin Pruitt)

 

Ø      Tenure Rollbacks:

Coordinate preparation of tenure rollback requests. Draft tenure rollback agreements in consultation with Legal Counsel.  Contact:  Sandy Jones (Robin Pruitt)

 

Ø      Notice of Non-reappointment:

Monitor and coordinate issues concerning notice of non-reappointment for faculty and academic professional employees, including assistance in monitoring of all sixth-year tenure track faculty and final year "Q" appointments in accordance with statutory requirements.

Ø      Unpaid Leaves:

Review and coordinate the approval of various leaves including administrative, Family Medical Leave (FMLA), educational, personal, etc.  Contact:  Mary Ellen O’Shaughnessey (Robin Pruitt)

 

Ø      Sabbatical Leaves:

Review, monitor and coordinate sabbatical leaves and disseminate information regarding sabbatical policy and approvals.  Verify eligibility for leaves, application completion and accuracy, prepare item for Board of Trustees review and approval. Complete correspondence including reminder letters for choices of leaves, changes in sabbatical requests, report deadlines and sabbatical report acknowledgements.  Contact:  Mary Ellen O’Shaughnessey (Robin Pruitt)

 

Ø      Relocation Plan:

Monitor and administer the policies and procedures for the relocation on campus of full-time, non-visiting academic professional employees who are released from positions due to lack of funds.  Notify the unit with a vacant academic professional position and maintain the Relocation File.

Ø      Visiting/Temporary Appointments:

Monitor visiting and other temporary academic appointments for length and appropriateness of employment category. Notify departments annually of employees whose temporary status is in question, consult with them on procedures and solutions.  Coordinate responses and approve extensions as appropriate.  Contact:  Debi Stone


 

Ø      Temporary Social Security Numbers and Guest Identification Cards:

Handle requests for temporary social security numbers for international visitors not on payroll who do not need a permanent number or United States citizens who do not want to use their permanent number for use on guest ID cards.  Maintain requests for guest identification cards.

Ø      Security Clearance:

Coordinate requests for academic staff security clearance checks. Monitor, track and issue letters of the results.  (includes attendance at Investigative Committee when academic employee involved)

Ø      Moving Discounts:

Coordinate moving discounts for the campus (all employee groups), verifying employment information.   Contact:  Deb Weidler
